The client approached Acropolium with a clear ambition: to enhance the in-room experience through cutting-edge smart technologies while improving energy efficiency throughout their properties.
Although they had already adopted some basic smart hotel room features — such as motion-triggered lighting and remote HVAC controls — these solutions were not integrated or responsive enough to deliver true personalization or operational gains.
They wanted more than just connected devices. The vision was to create intelligent environments that adapt in real time to guests' individual needs while minimizing waste. Thus, the company sought a system that could understand occupancy, adjust conditions automatically, reduce energy use, and even anticipate maintenance issues — all with minimal staff intervention.

From Fragmented Automation to a Unified Smart Room Ecosystem
The project presented several business and technical challenges rooted in fragmented technology and outdated automation logic.
Despite having some foundational systems with smart hotel room technology in place, the hotel's setup lacked the intelligence and integration necessary for personalization or efficiency. Room settings like lighting, temperature, and leisure systems had to be adjusted manually, resulting in inconsistent comfort levels. Guest preferences were not stored or learned, which led to lower satisfaction scores.
Energy consumption remained high, particularly because the system couldn't accurately determine room occupancy. Lights, HVAC systems, and electronic devices were often on when rooms were vacant. The absence of AI smart room technology and IoT connectivity significantly limited the hotel's ability to make energy-saving decisions.
Maintenance posed another major issue. Without predictive alerts or real-time diagnostics, the team learned about technical issues only after guest complaints. Consequently, the reactive approach led to service disruptions, reduced trust, and higher repair costs.

Our team began the project by conducting a detailed audit of the client's current smart room infrastructure.
Through our assessment, we identified key gaps in occupancy detection accuracy, energy optimization, and maintenance workflows. The disconnected nature of existing devices meant that room settings could not adapt to guest preferences.
In response, we designed and implemented an automation platform using AI smart room technology that would unify all the assets into a cohesive, interconnected ecosystem. The new platform was architected with modularity and cloud scalability in mind to support both current operational needs and future expansions.
Working closely with the client's internal team, we gathered insight into guest behavior patterns, room usage, and property-level energy flows to define the functional scope of the new system.
To enhance operational flexibility, we made the control interface fully responsive and accessible via mobile devices and tablets. This enables hotel staff and facility managers to monitor, adjust, and troubleshoot room systems on the go, whether on-site or remotely.
